Privacy Policy
This Privacy Policy explains how Chancellor Translations handles information connected with quote requests, translation orders, document review, delivery, and follow-up communication.
1. Who is responsible
Chancellor Translations is operated by Dejan Arnautović, an independent freelance translator. Contact for privacy matters: contact@chancellortranslations.com.
2. Browsing and email drafts
This website has no client accounts, checkout, document uploads, or client document database. Text you enter in the email template stays in the current page; it is not sent to a site server or saved in browser storage by the site. Choosing Open Email App passes the draft to your configured email application. You must review and send the message yourself. Choosing Copy Request Text places it on your device clipboard, where it remains subject to your device settings. The site does not install advertising or analytics trackers, or load external fonts. Hosting and access-control providers may process technical information such as IP addresses and access logs to deliver and protect the site.
3. What is collected
Quote and order information: name, email address, language pair, document type, deadline, receiving institution, and any message you write.
Documents: scans, photos, PDFs, or files you choose to send privately for review or translation. These may contain sensitive personal information, including names, dates of birth, civil status, court records, administrative records, financial details, or immigration-related information.
Payment information: payment is handled off-site through the payment method agreed after quote approval. Full payment credentials are not collected or stored by this website.
4. How information is used
Your information and documents are used only to review your request, issue a quote, perform and certify the translation, deliver the completed translation, handle corrections, communicate with you, and maintain basic business records such as invoices and order records. Your information is not sold and is not used for advertising.
5. Third-party tools
Limited third-party processing may be involved in operating the service: email is handled by the email provider of the contact address; payments are processed by the payment provider you choose; site hosting is provided by the hosting provider. Documents are not shared with additional third parties unless you specifically request or approve it, for example for an independent second review.
6. Retention and deletion
Source documents sent through the agreed external method are kept only as long as reasonably necessary to review, quote, complete, deliver, and correct the translation. You may request deletion of your documents after delivery by writing to contact@chancellortranslations.com. Deletion is confirmed in writing where reasonably possible. Basic invoicing, payment, or order records may be retained where legally or administratively required.
7. Your rights
You may request access to, correction of, or deletion of your personal information, and you may ask what information is held about your request or order. Requests are answered by email, normally within a few business days.
8. Security
Documents are handled as confidential and stored on access-protected devices and accounts. Do not include sensitive documents or identifiers in your introductory email. Agree an external transfer method before sending files. Ordinary email is not guaranteed to be end-to-end encrypted. The transfer method and any specific retention or deletion needs should be agreed before sharing documents.
9. International processing
Because clients may be located in different countries and digital service providers may process data across borders, your information may be transmitted or processed internationally as part of ordinary email, hosting, payment, or communication services.
10. Changes
This policy may be updated from time to time. The version and effective date above identify the current policy.
